Privacy Policy for Website, Account and Caller Data

This policy explains how we collect and use information from visitors, customers and callers to customer businesses. Read the data categories, retention periods and request options, then try the demo with a fictional insurance inquiry.

Who operates this service

TypeScience, trading as Insurance Answering Co, operates this website and the AI receptionist service. This policy describes information handled when you visit our site, try a demo, open an account or call a business that uses our receptionist.

You can contact support@insuranceansweringco.com for service help and privacy@insuranceansweringco.com for privacy requests. We do not publish a street address. The sections below explain the distinction between information about our customers and information collected for those customers during calls.

Customers, website visitors and callers

Customers and website visitors interact with us directly through the site, account setup, billing and service use. We use their information to provide the website and manage the customer relationship.

For callers to a customer's business, that business decides what information is collected and why. We process caller information on the business's behalf to answer calls and deliver the resulting records. Data processing terms form part of our service terms. A caller can direct a privacy request to the business or to us.

Account and billing information

We collect account details including your name, business name, email address and phone number. These details support account setup, service communications and the business identity your receptionist uses when answering forwarded calls.

Our payment processor handles billing information, and we do not store full payment card numbers. Account information also supports the monthly subscription and communications about trial conversion. Keep your business contact details accurate so messages about your service reach the right person.

Onboarding answers and website content

We collect the answers you provide during onboarding and the website content you direct us to use. This information teaches your receptionist about your agency's services, service area, hours, intake questions and instructions for urgent calls.

We use those instructions to guide conversations as your business. Include the information needed to handle requests and route messages, including what the receptionist should leave for an agent. You can change service settings by telling the AI in plain words through the dashboard.

Call audio and written records

We collect call audio, recordings, transcripts, summaries and caller phone numbers when the receptionist handles calls. These records support intake, message delivery, urgency tagging and your agency's review of the conversation.

Calls, website and demo chats, recordings, transcripts and summaries of trial and customer accounts may be reviewed by authorized staff for quality, support and abuse prevention. Access is limited to those purposes.

The receptionist announces that it is a virtual assistant and that the call is recorded at the beginning of each call. Those notices cannot be disabled. Your agency can review call records in its dashboard and receives an email and app push notification for each call, plus a daily digest email.

Browser demos and chats

Demo calls and chats on this site are recorded and transcribed so we can show the result. A demo therefore produces conversation data even when you have not opened a customer account.

Use a fictional inquiry when testing the receptionist instead of sharing a policyholder's information. You can hear the opening disclosure and see how the receptionist handles a request for an agent. The demo is available in the browser without signup.

Website analytics and cookies

We use privacy-friendly analytics and Google Analytics to understand use of our website. Google Analytics uses cookies, so visits can involve analytics information in addition to details you choose to submit through a conversation or account form.

Analytics supports our understanding of website activity. For questions or requests concerning personal information associated with your visit, contact privacy@insuranceansweringco.com. Describe the visit or interaction involved so we can understand which information your request concerns.

Why information is processed

We process information to operate the website, answer business calls, prepare call records and deliver messages. Customer account information supports onboarding, billing, settings and communications about the service.

Caller information supports the customer's chosen intake and follow-up process. For example, a certificate request can become a summary for agency staff, while an urgent call can follow the customer's escalation instructions. We never sell personal information and never use callers' data for our own marketing.

Service providers that process information

Our service providers include hosting and storage, telephone carriers, AI model providers for voice and text, payment processing, email delivery and analytics. These categories support the website, customer accounts, conversations and delivery of call records.

Voice and text processing involves information from conversations handled by the service. Our AI model provider, OpenAI, does not use our API data to train its models by default. This default does not mean that conversation data avoids processing by AI providers when they deliver the service.

Retention and deletion

Call recordings are kept for the period the customer business chooses: 30 or 90 days. After that period, the recordings are deleted. A business should choose its recording period with its own handling of call messages in mind.

Transcripts and summaries are kept while the account remains open. They are deleted within 30 days after the account closes or on request. These schedules describe call recordings, transcripts and summaries; they do not establish the same retention period for every category of account or website information.

Access, correction, deletion and opt-out requests

You can request access, correction, deletion or opt-out by emailing privacy@insuranceansweringco.com. Include enough context to identify the account, visit or call involved, and describe the action you are requesting without adding unnecessary sensitive details.

California residents have rights where they apply. Callers to customer businesses can ask that business or contact us directly about their information. Because the customer decides what caller information is collected and why, identify the business involved when sending a request about a call.

Children and policy changes

This website and service are not intended for children under 13. Customers should keep receptionist instructions focused on the agency's business calls and the information needed to prepare a message for staff.

Policy changes are dated on this page. Check the last updated date when reviewing our information practices, and email privacy@insuranceansweringco.com with questions about this policy or a privacy request. For a practical description of recording notices and retention choices, read the call data security page.
